Quick-start checklist

An end-to-end checklist from setting up your account to publishing results.

Your first event, start to finish. Each step links to the detailed guide. Work top to bottom and you'll have a fully set-up, ready-to-run event.

A. Before you build the event

  • Create your organiser account (or use a team you run): name, handle, logo, description. Become an organiser
  • Add anyone who'll help as an admin, so race-day duties can be shared.
  • Have your route ready, or plan to build one in the app: a GPX file (from Strava, Komoot, Garmin or similar), or nothing at all if you'll draw it on the map yourself. Not needed for point-to-point, which uses checkpoints instead.
  • Know your timing: the exact start date, time and the event's local time zone.

B. Build the event

  • Choose the activity (ride or run), then pick the format — every format is a card and none is preselected, so you must choose one: meet-up, sportive / gran fondo, race, time trial or point-to-point. Event formats
  • Choose privacy: public, unlisted or private. (Defaults to unlisted; pick public straight away if you want to.) Public, unlisted and private events
  • Know your registration plan. Creating, building and previewing are free, but an event can't take any registrations until you subscribe to an Event Organiser plan — there's no free allowance.   • Name it, choose the host (organiser account or team — locked once created), and group it into a festival if it's part of one.
  • Set the start time and time zone. Double-check the zone; the app auto-detects it, but confirm it got the right one.
  • For circuits: turn on laps and set the count now — laps can only be set at creation, there's no way to add or change them afterwards. (Not offered for point-to-point or meet-up.)
  • Set a tracking cutoff if you need one. (Not offered for meet-ups.) Whether it marks timed-out athletes DNF or finished can be changed later from the Event Day tab; the default is DNF. Every format except a meet-up can record a DNF — a sportive or point-to-point is unranked, but an early ender there is still DNF, the same as abandoning a race or time trial. A meet-up is the one format where ending early always lands as Finished.

C. Route and timing

  • Add your route: pick a saved route from your library, upload a GPX, or build one in the app by tapping points on a map — or, for point-to-point, place your checkpoints instead. None of this blocks creating the event; add or change it afterwards from the Course tab. Routes, start and finish lines
  • Confirm the start/finish line the route suggested. Adjust the position and detection radius if needed. Timed formats (race, time trial, sportive / gran fondo) won't go live automatically without this — a warning tells you so right after you create the event, and again on the Event Day tab if it's still missing. Meet-ups don't need it.

D. Registration

  • Set how athletes join: open, managed or ballot. Registration and categories
  • Add your categories (with wave start times if you use them).
  • Set capacity and the registration open/close window if you need them.
  • Build the registration form (questions and a waiver) if you're using managed registration.
  • Choose bib assignment: automatic or self-entry.
  • Add images on the Summary tab, then open the event page yourself to check it reads well.

E. In the week before

  • Share the event link (and access code, if private).
  • Post a welcome update to the event feed.
  • Remind athletes to install the app, register, and open the event once with signal so it's cached for an offline start. Register for an event
  • Confirm your on-the-ground emergency plan. Aster's Alert notifies the people watching an athlete's ride, not a rescue service, so it's no substitute for calling for help. Alerts and crash detection

F. Race day

  • Open your organiser dashboard. Running the event on race day
  • Check the participant list: athletes showing as registered/started.
  • There's nothing to switch on — the event goes live on its own at the scheduled time (or on the first athlete's ping). For a race, you can still tap Start Race Now on the Event Day tab to fire the gun yourself for precision instead of waiting.
  • Watch the field on the live map and leaderboard.
  • Keep an eye out for Alerts and respond. Handling Alerts
  • Use force finish / mark DNF / reset / withdraw for any athlete whose tracking needs a hand.

G. After the finish

  • Publish results. Results
  • Export results (CSV) for your records or your federation.
  • Post a recap to the event feed and thank everyone.

Good to know: once an athlete finishes (or is cut off), their result freezes. Late GPS data never changes a finisher's time or position, so your results stay clean.
