Roles and managing members

Owner, admin and member roles, what each can do, invite links, and how club membership and Aster Plus behave.

Every club has one owner, any number of admins, and members. This article covers what each role can do and how to manage the roster.

The roles

RoleCan do
OwnerEverything an admin can, plus: promote or demote admins, remove admins, transfer ownership, and apply for verified status. One owner per club; they can't leave without transferring first. The club itself is free and never billed — membership is per-member via Aster Plus.
AdminApprove or decline join applications, create and share invite links, remove members, edit the club profile, create meet-ups, upload routes to the route library, see each meet-up's register.
MemberAppear on the roster, see and RSVP to meet-ups, read and post on the club board, use the route library.

Only the owner can promote a member to admin, demote an admin, or remove an admin. Admins can remove ordinary members but not each other, and nobody can remove the owner.

Managing the roster

From the club's page (admins see the management options):

  • Approve or decline join applications (application clubs). Applications notify the owner and admins so they don't sit unseen.
  • Share an invite link — see below.
  • Remove a member. This takes them off the roster — it never deletes their rides, results or account.
  • Promote or demote members (owner only).
  • Edit the profile — name, description, logo, banner.

Invite links

The quickest way to bring people in is an invite link. From the club page, tap Invite to generate a link you can copy, share, or show as a QR code — the sort of thing you pin in the club's WhatsApp group.

  • Anyone who taps it lands on a join page. The invite is the approval, so there's no application step to wait on, even in an application club. If the club still has room within the free tier, they're in immediately. Once the club has grown beyond the free tier, joining in full needs Aster Plus: the invite automatically activates their free demo if they haven't used it yet; otherwise they join as a follower and are prompted to take out Plus to become a full member.
  • Only the owner and admins can create, view or revoke invite links.
  • You can revoke a link at any time (and generate a fresh one); revoking turns off the old link without affecting anyone who already joined.
  • The owner and admins get a notification each time someone joins via a link.
  • An ordinary club's invite link is good for 1,000 joins and never expires on its own. A verified/pro team's invite link is deliberately tighter — 25 joins, expiring after 30 days — because joining an application-type pro team can carry the pro badge onto the new member. If a link stops working with no obvious reason, it may simply have reached its limit or expiry — generate a fresh one.

Club membership and Aster Plus

The club itself is free and never pays a subscription. Membership works per-member:

  • A small club is free: the free tier covers a club of up to three members.
  • Beyond that, members of an open club join with their own Aster Plus to join in full — with a free demo to try first. It's the member's choice, never the club's.
  • A club can hold up to 500 members — a scale limit, not a paywall.
  • If a member's Aster Plus lapses, nobody is removed: they simply drop back to following and watching the club, and their data stays put.

Transferring ownership

The owner can hand the club to any active member — useful when a club changes its secretary or lead organiser. After transferring, the previous owner steps down to admin (and can then leave or stay).

Good to know

  • Removing a member also removes their access to members-only meet-ups, the club board and the route library from that point on.
  • If a removed or departed member was your club's route uploader, the routes they uploaded stay in the club library.
